This Privacy Notice explains how Safer Charging Limited ("Safer Charging", "we", "our" or "us") collects, uses and protects personal information when you use the ChargeSafe platform and the ChargeSafe Surveyor mobile application ("the Platform").

This Notice applies to:

  • The ChargeSafe Surveyor mobile application;

  • The ChargeSafe web platform;

  • Associated APIs and services;

  • Inspection data submitted through the Platform.

This Notice should be read alongside our general Website Privacy Notice, Cookie Policy, Platform Terms and Terms of Use.

Nothing in this Privacy Notice forms part of any contract with you or creates contractual rights beyond those provided by applicable data protection legislation.

1. About ChargeSafe

ChargeSafe is operated by Safer Charging Limited and provides a platform for recording, managing and reporting inspections of electric vehicle charging infrastructure.

The Platform is intended for use by authorised users, including:

  • Safer Charging employees;

  • Approved contractors and surveyors;

  • Charge point operators;

  • Local authorities;

  • Asset owners;

  • Other authorised organisations.

2. Who We Are

Safer Charging Limited is the Data Controller for personal information processed through the Platform unless otherwise stated.

3. Information We Collect

Account Information

To use ChargeSafe you must register using an email address.

We may process:

  • Email address;

  • Account identifier;

  • Authentication credentials;

  • Login history;

  • Security settings.

Except where operationally necessary (for example, administrator accounts), we do not require users to provide their name and routine users are generally identified within the Platform by their account rather than by personal identity.

Inspection Information

When you complete an inspection, we collect information relating to the charging location and inspection itself.

This may include:

  • Charge point details;

  • Site observations;

  • Accessibility assessments;

  • Fire safety observations;

  • Inspection responses;

  • Notes entered by the user;

  • Inspection status;

  • Completion dates and times.

This information relates primarily to charging infrastructure and is not intended to identify individual people.

Photographs

Users are required to upload photographs to support inspection findings.

Photographs form part of the inspection record and may include metadata generated by the device, such as:

  • Date;

  • Time;

  • GPS coordinates (where enabled by the device);

  • Camera information.

Photographs should relate only to the inspection being undertaken.

Users should take reasonable care to avoid unnecessarily capturing identifiable individuals or unrelated personal information where practicable.

Technical Information

To operate and secure the Platform we may collect:

  • Device type;

  • Operating system;

  • Application version;

  • IP address;

  • Error logs;

  • Security events;

  • Device identifiers used for authentication and fraud prevention.

We use secure authentication technologies to maintain user sessions following successful sign-in.

 3rd Party Payments & Gig-Economy Platforms

To facilitate the "claim and payout" workflow, at our sole discretion, we may partner with a third-party platform that manages gig-economy infrastructure and payments.

·       Data Sharing: When you claim and complete a job, we share the Job ID, your unique Platform ID, and the "Approved" status with the third-party provider.

·       Independent Controllers: Our payment partner acts as an independent Data Controller for the information you provide directly to them (such as your bank details, tax information, and legal identity). We encourage you to review their specific privacy policy.

·       Reconciliation: We only receive confirmation that a payment has been processed; we do not store your financial or banking information on our servers.

Device Permissions

ChargeSafe requests permission to access:

·       Subject: Camera

·       Purpose: Capture inspection photographs.

 

·       Subject: Photo Library

·       Purpose: Upload existing inspection photographs.

 

·       Subject: Location

·       Purpose: Verify the location of inspections and assist with map functionality.

Permissions may be withdrawn at any time through your device settings, although doing so may prevent certain functionality from operating correctly.

 

4. Location Information

ChargeSafe is designed to verify that inspections have been completed at the correct location.

Where permitted by your device and the inspection workflow, the Platform may collect the location associated with an inspection at the point it is completed.

When you search for locations or request directions within the application, relevant location information may be shared with our mapping provider solely to provide those services.

ChargeSafe only accesses your location while you are actively using the application to complete an inspection. We do not continuously monitor, track or record your movements before, during or after an inspection.

The Platform does not use background location tracking.

Location information is collected solely for the purpose of supporting inspection integrity and evidencing the location of inspection records.

5. How We Use Your Information

We use information collected through ChargeSafe to:

  • Authenticate users;

  • Allocate and manage inspections;

  • Produce inspection reports;

  • Verify inspection completion;

  • Support payment of approved contractors where applicable;

  • Maintain platform security;

  • Detect fraudulent activity;

  • Improve the Platform;

  • Resolve disputes;

  • Meet legal obligations.

We do not use the Platform to monitor users' movements or activities outside the inspection process.

Location is used solely to:

  • assist users in locating inspection sites;

  • verify that an inspection was completed at the relevant location;

  • form part of the inspection evidence.

6. Who We Share Data With

Processors (service providers):

●      Supabase — secure cloud hosting, database, authentication and file storage

●      Mapbox — maps, address search (receives location and search terms)

●      Expo / Expo Application Services (EAS) — mobile app build and delivery

●      Postmark — sending service emails (e.g. invitations, password resets)

●      Anthropic — AI-assisted drafting of report summaries

Recipients of inspection outputs: the customer commissioning the inspection, charge point operators, asset owners, and authorised Safer Charging personnel/contractors.

Inspection reports describe the charging infrastructure and findings; we do not intentionally share personal information about individual users with our customers.

Payments (where applicable): if paid contractor work is arranged through a third-party payments provider, we may share limited information such as a job identifier, your Platform account identifier and approval status. That provider is an independent Controller for any bank, tax or identity details you give it directly; we do not store your financial or banking information on our servers.

 

7. Our Lawful Bases

We process information under one or more of the following lawful bases:

Performance of a Contract

Including:

  • Providing access to the Platform;

  • Managing inspections;

  • Delivering inspection reports;

  • Processing payments where applicable.

Legitimate Interests

Including:

  • Protecting the integrity of inspection records;

  • Maintaining platform security;

  • Preventing fraud;

  • Improving our services;

  • Protecting our legal rights.

Legal Obligations

Where required by law.

8. Sharing Inspection Data

Inspection information may be shared with:

  • The relevant customer commissioning the inspection;

  • Charge point operators;

  • Asset owners;

  • Authorised personnel within Safer Charging Limited;

  • Contractors supporting the delivery of our services where necessary.

Inspection reports are intended to describe the charging infrastructure and inspection findings.

We may use artificial intelligence technologies to assist in generating draft narrative text for inspection reports using information submitted during inspections.

AI-generated content is reviewed by authorised users before reports are finalised.

The Platform automatically calculates inspection scores based upon predefined assessment criteria.

These automated processes do not produce legal or similarly significant decisions about individual users.

We do not intentionally share personal information relating to individual users with our customers.

9. Incidental Personal Information

Although inspection photographs and observations are intended to relate solely to charging infrastructure, it is possible that incidental personal information may occasionally be captured.

Examples include:

  • Vehicle registration plates;

  • Individuals passing through the scene;

  • Reflections;

  • Names displayed on signage;

  • Other information unintentionally visible within photographs.

Where such information is captured incidentally and is not relevant to the purpose of the inspection, we will take reasonable steps to minimise its use and disclosure.

Customers receiving inspection reports are expected to use such information only for the legitimate purpose of understanding the condition of the inspected asset.

The incidental inclusion of personal information within inspection records shall not, by itself, constitute unauthorised disclosure where it could not reasonably have been avoided during the inspection process.

10. Information We Do Not Share

Unless required by law or necessary for the operation of the Platform, we do not share with customers:

  • User email addresses;

  • Authentication credentials;

  • Login history;

  • Internal security logs;

  • User account identifiers;

  • Payment information;

  • Internal audit records.

Only authorised Safer Charging administrators may access this information where operationally necessary.

11. Data Security

We employ appropriate technical and organisational measures designed to protect information processed through ChargeSafe.

These measures may include:

  • Encryption;

  • Secure authentication;

  • Role-based access controls;

  • Audit logging;

  • Secure cloud hosting;

  • Security monitoring.

Access to administrative information is restricted to authorised personnel with a legitimate business need.

12. Data Retention

Inspection records are retained in accordance with our contractual obligations and legitimate business requirements and may vary as follows:

·       Inspection records: 6 years.

·       Security logs: 12 months.

·       Inactive accounts: 6 years.

Account information may be retained after an account is closed where necessary for:

  • Legal compliance;

  • Financial records;

  • Dispute resolution;

  • Fraud prevention;

  • Protection of legal rights.

Where information is no longer required, it will be securely deleted or anonymised.

13. Your Rights

Subject to applicable law, you may request:

  • Access to your personal information;

  • Correction of inaccurate information;

  • Erasure where appropriate;

  • Restriction of processing;

  • Objection to processing;

  • Data portability where applicable.

Some inspection records may need to be retained where they form part of contractual deliverables or legal records.

14. Changes to this Notice

We may update this Privacy Notice from time to time to reflect:

  • Changes to the Platform;

  • New functionality;

  • Legal or regulatory developments;

  • Improvements to our services.

The latest version will always be available within the Platform and on our website.

15. Contact

We aim to respond to all requests relating to your personal information within one month of receipt. Where requests are particularly complex or numerous, this period may be extended where permitted by applicable law. We may request additional information to verify your identity before responding.
